Projectworks is a cloud-based business management software designed to help enterprises manage the entire project lifecycle from initiation to planning, execution and monitoring of performance. HR managers can track employees and contractors using timesheets, handle time-off requests, view leave balances and define and display objectives on a unified portal.
Projectworks lets users submit expense claims for projects or clients, track costa, revenue and forecasts and compare budgets and invoices to ensure timely completion. It offers a variety of features including payroll management, custom workflows, resource allocation, timecodes, interactive dashboard and more. Additionally, administrators can add custom fields and configure the portal to meet project requirements and gain insights into status, employee performance and goals via reports.’

Projectworks supports integration with various third-party applications such as Xero, Quickbooks, MYOB and more via APIs. Pricing details are available on request and support is extended via email, FAQs and other online measures.

What do you like best?

Everything is in realtime so always up to date. Very easy to use, all employees find it really simple to use – intuitive.

We tried multiple other project management software tools for our small architecture firm (< 10 people). MS Project was far more complex than we needed (although we appreciate their Gantt Chart tool), and monday.com was great potential but required significant up-front programming to set it up for our purposes. After several months of trying to get going with each of these, we kept looking for something that would better serve our needs for project management. Projectworks has been very easy to use from the start. Their staff was outstanding with “onboarding” support and had us up and going quickly. They were very responsive in answering questions, helping us understand how to best use the software for our office. Once we were onboarded, we spent the first few months getting our staff used to using the new tool. As we became ready to deepen our use of the software and move to the next level, their support staff was right there for us, helping us to continue to understand how to get what we wanted to get out of the program. Of course we want certain things that the software can’t yet give us, and they’re great at taking feedback regarding processes not yet integrated into the software and are continually developing new features and functions.

I use project works as a staff member of a medium-sized consulting organisation. I can use the functions to manage my projects, including resourcing and budget – which I would use on a regular basis, as well as my time spent working on other projects, and weekly billing to the organisation. I generally find it fluid and easy to interact with.

What do you dislike?

I think it would be great if it could interface or plug in to MSTeams. This would further improve user experience and have one less thing to log into. There can also be some refinements made to the navigation in the project management dashboard. Right now there are two rows of options, the second one you can only get to if you go to settings, and then the drop-down menu comes. This could be more clear and intuitive.

As a “younger” product, they’re still building out the capacity of the software. So, while it isn’t quite providing everything we would like (e.g., pdf a Gantt chart that we can share with clients), they’re constantly working on these things and are very receptive and responsive to such requests. When possible, they’re also happy to help us figure out creative work-arounds until such features are integrated. Other softwares have extensive on-line “how to” videos, where Projectworks does not; however the support staff has been outstanding and quick to respond to questions so we have never felt abandoned or lacking in ability to use the program.

Reporting functionality is not the easiest if you are not super techy (think need to be able to code). No app so people can’t do timesheets on the go on an app.

What problems is the product solving and how is that benefiting you?

We are able to have one place to look at for project management-related matters including budgeting, resourcing, invoicing. It is also a place to manage individual resourcing such as leave requests, and hours worked.

Our initial reason for wanting a project management software tool was to track productivity and help us better allocate staff time over a two-week to month-out timeline (or further). For commercial work, we also need to provide the owner with overall project schedules by phase before the project begins, and then to provide regular schedule updates as the project progresses. Eventually, we’ll integrate Projectworks with our accounting and invoicing, however we’re taking it one step at a time. We’ve been using Projectworks for about 5 months now and have found it very helpful in staff allocation and in tracking our actual time worked and how that tracks with revenue per phase. Our staff has found it very helpful as they are able to clearly understand the time they have to complete tasks and it’s given them a better understanding of how their productivity impacts the overall profitability of the firm — giving them more ownership and accountability.

Staff capacity – we can see whether staff are over or under-resourced and solves things before they become a problem.

Accurate financial forecasting as our resourcing is up to date.

Links with our invoices and shows us margin etc. It gives us so much more visibility at the click of a button and has revolutionised how we can do business.
